Meeting Minutes
Meeting Minutes
Meeting minutes record the decisions, discussions, and actions from a meeting. Once minutes have been created and shared by the administrator, members can view them from the meeting page.
Depending on the meeting stage, minutes may be available for review or as final published minutes.
Where to Find the Minutes
Members can access meeting minutes from the meeting page in the portal.
If minutes are available, a Minutes section will appear in the meeting where you can open and view them.
You may also receive an email notification when minutes are ready to review or when the final minutes have been published.
Draft or Review Minutes
Sometimes minutes are shared with members before they are finalized so they can be reviewed.
In this stage, members may be asked to:
- Read through the minutes
- Check that the information is accurate
- Provide feedback if required
When reviewing minutes, the BoardCloud Viewer will open. Learn how to make annotations in the BoardCloud Viewer
Published Minutes
Once the minutes have been approved, the final version will be published.
Published minutes become part of the official meeting record and can be accessed from the meeting page.
Depending on your organization's settings, members may be able to:
- View the final minutes
- Download or print them
Notifications
Members may receive notifications when:
- Minutes are ready for review
- Final minutes are published
These emails usually include a direct link to open the minutes in the BoardCloud Viewer.
Version Updates
If minutes are updated after review, members may be notified and can view the revised version in the portal.
Revision History
All changes to minutes are tracked. Only the latest version can be viewed, but each revision is numbered. For example, “Rev 2” indicates the second revision of the minutes.
