Cloning an Agenda

Cloning an existing meeting agenda is a quick and effective way to save time. BoardCloud allows you to copy the structure of an agenda from one meeting and reuse it when creating a new meeting.

Where to Find the Clone Agenda Button

You can clone an agenda from both open and closed meetings.

Open meetings

The Clone Agenda button is available within the open meeting view (see locations shown below).

The speech bubble icon is used to Clone the Agenda.

You can also click on the Green Plus (+) and select Clone Agenda.

Closed meetings

The Clone Agenda button can also be accessed from a closed meeting (as shown in the image below).

As you can see in the above image, Cloning the Agenda is the only agenda option available for a Closed Meeting.

You can also click the Cogs/Gear icon at the top right of the screen (Meeting Control) and clone the agenda that way. 

How to Clone an Agenda

  1. Open the meeting that contains the agenda you want to reuse.
  2. Click the Clone Agenda Sections button (using any of the Clone Agenda buttons shown in the images above).
  3. Click the Clone Agenda Sections button. 

The agenda structure from that meeting is copied and stored temporarily.

Importing a Cloned Agenda into a New Meeting

  1. Open the meeting where you want to use the cloned agenda.
  2. Click the speech bubble icon (it is also used to Clone the Agenda)
  3. Click the Import Cloned Agenda button.

The cloned agenda structure will be applied to the meeting.

What Is Included When Cloning an Agenda

When an agenda is cloned, the following elements are copied:

  • Agenda item titles
  • Sub-sections and hierarchy
  • Agenda order and numbering

Note: Numbering is only carried through if the new meeting is set up to display numbered agenda items. If numbering is not enabled in your settings, the cloned agenda will maintain the order but not show numbers.

The following elements are not copied

  1. Documents attached to agenda items
  2. Votes
  3. Tasks
  4. Forms

Important Notes

  • Only one cloned agenda can exist at a time. Cloning a new agenda will replace any previously cloned agenda.
  • When Clone Agenda Sections is clicked, the agenda from that meeting is stored in memory.
  • The cloned agenda remains available until another agenda is cloned.
  • Cloning an agenda copies the agenda structure only, not the associated documents.

Tip: Clone the agenda from the meeting that most closely matches your new meeting to reduce the amount of editing needed.
