Meeting Cover Pages in BoardCloud

BoardCloud lets you control the appearance of meeting pack cover pages at three levels: 
System (Admin)
Committee
Meeting

Cover Page Hierarchy

BoardCloud applies cover pages in the following order:
1. System Default Cover Page (Admin level)
    Set in Admin > Settings > Cover Page (right hand side, second option from the top)
    Used for any committee or meeting without its own cover page
    Automatically applied to newly created committees

2. Committee Cover Page 
    Set in the Committee Cover Page Manager
    Once chosen, it applies to all meetings for that committee

3. Meeting Cover Page
    Set at the meeting level
    Overrides both the committee and system defaults for that meeting only
    Can be reverted to default if needed.


Note: Changing the default Admin cover page will affect all committees and meetings that don’t have their own cover page.

Managing Cover Pages

Admin Cover Page Manager
Access via Admin > Settings > Cover Page. Upload a single-page PDF or Microsoft Word file.

As you can see from the image below, a default cover page has been loaded.

Supported sizes:

  • A4 – 800 × 1100 px
  • Letter – 822 × 1033 px
  • Legal – 822 × 1260 px

Committee Cover Page Manager
Access via Committee > Settings > Cover Page Manager. Upload a custom cover page for that specific committee.

A committee can have a custom cover page if it is specified using the Committee Cover Page Manager. See image below:


Meeting Cover Page
When scheduling a meeting, you can upload a custom cover for that meeting. To revert, select Reset to Default in the Cover Page Manager.

Cover Page Design & Sizing

Ensure cover pages match the standard paper sizes (A4, Letter, Legal). Incorrect sizing will cause mismatched page widths in the final pack. Covers should be designed with space for text overlays (see below).

When there is a disparity between the cover page sizing and the pack contents, the areas highlighted below in yellow diverge wider and further than the example below.

Cover Page Overlays

Overlays are meeting-specific text automatically placed on the cover background. They draw from
Committee name, Meeting title, Meeting date and Meeting time. Overlays save time by eliminating the need to manually update cover graphics for each meeting.

Best Practices

  • Use one branded background cover for all committees (set at Admin level).
  • Rely on overlays to insert meeting-specific details.
  • Only use committee- or meeting-level covers if branding or design requires it.
  • Always check that your cover template matches your pack page size.

Below is an example of a generated cover page for a meeting of the Operations Committee. The background was designed to cover the top and bottom areas of the page, while the overlay text was printed in the middle of the document. The result is a board pack cover that looks pleasing and has the full meeting information printed on it.
