Meeting Minutes Template 

BoardCloud's minutes editor, which is part of the meeting page, allows for a number of design adjustments to be made to your minutes.

By default the minutes template looks similar to the image below when open in MS-Word. The template is a Microsoft Word document that makes use of MS-Word tables to represent 'active elements' that are derived from the agenda contents. This elements are:

  • Agenda sections
  • Attendance register
  • Votes (or motions)
  • Tasks (or actions)

How BoardCloud Minutes Template Works

The MS-Word based template above has a table for each of the active content areas. In order from above, Agenda, Attendance, Tasks and Votes. 

While the agenda is being built, the template will be applied using the current agenda contents. Content is refreshed when:

  • The minutes are saved
  • Minutes are refreshed in the minutes editor
  • The meeting page is opened

Template Header

The header of the template is built using the standard Microsoft Word header function. The footer of the minutes template uses the same standard Word functionality, including page numbers and other footer-centric information.

The header has five active elements:

  • Logo
  • Meeting title
  • Committee name
  • Meeting date 
  • Meeting time

Any or none of these active elements can be included in your minutes document. (You can bypass the BoardCloud template by loading your minutes directly. The placement of these elements in your document is not fixed, they can be moved around if required. They do not necessarily need to be placed in the header of the document and can be moved anywhere if required.

Active Minutes Content Elements

The tables representing the agenda items, votes, attendance and tasks can be moved and placed anywhere in the template as required. For example, the  Attendance table can be moved ahead of the agenda if it suits your requirements.

Styling Active Tables

Each table in the template can be styled individually if required. Where possible, the styling elements will be carried through to your final published minutes document.
