Committee Resources
What are Committee Resources?
Inn board portal terms, committee resources, refer to documents or videos that are related to a specific committee's mission. For example, a document listing Standing Audit Procedures could be loaded into the Audit & Risk committee's resource library.
A committee resource library within a board portal is a centralized repository where documents and resources related to a specific committee are stored and managed.
In a board portal such as BoardCloud, a committee resource library typically includes meeting agendas, minutes, reports, presentations, and other relevant documents that committee members need to access and review. Also included as part of the committee knowledge panel is a list of terms & designations for each committee member as well as a history of membership of the committee.
The main benefits of a committee resource library include:

Easy Access: Committee members can quickly find and retrieve necessary documents.

Organization: Documents are neatly organized, often in folders or categories, making it easier to manage and locate information.

Security: Documents are stored securely, often with encryption and access controls to ensure that only authorized committee members can view them.

Collaboration: Facilitates collaboration among committee members by providing a common platform for sharing and discussing documents.
Adding Committee Resources
From the committees page, you will be presented with a list of all the committees you have permission to view. Each committee has a Resources tab, that when clicked on, opens a dialog window showing all documents and videos in that particular library.
Below is a resource library from an Audit & Risk Committee, the admin functions are highlighted in yellow:
Admin Functions for Resources
When logged in as an administrator or a Group Admin, the options highlighted in yellow above will become available. In concept, these option work in a similar way to laying out a meeting agenda. That is, documents (or videos) can be uploaded either free form or else in a structured fashion under a series of sections. (Sections can also be called folders)
In the above example the Rules & Regulation section has multiple levels with various documents in each section.
The admin functions are accessible either from the four icons on the top left of the resource library or else from the green + icon on the top right. When clicked, the menu below with appear, showing identical options to the icon strip on the left:
Add Section
This function adds a section (or folder) to your committee resource tree and can be clicked from one of three places:
- Icon strip top left
- Green + menu on the top right
- Vertical dots (kebab) at the right end of each section resource item
Note that the add section functionality changes slightly when it is invoked from the kebab icons. In this case, the newly added section will be added as a sub-section.
Upload Documents
In general, the resource library is designed to house documents in the form of MS-Word documents and PDF's. Images can also be uploaded.
At the moment, upload of sound and video files are not directly supported, however YouTube videos can be linked (see below).
Documents can be deleted via the kebab icon at the rightmost end of any document item.
Add YouTube Video
BoardCloud can host links to YouTube Videos, which can be added to a repository, see below:
