Delete Members
There are two phases to delete a member.
Deactivate Member (Soft Delete)
When an active member is no longer a part of the organization, the member can be deactivated.
Before beginning this task confirm that the member is active and has a confirmed email. Below is a view of the member's record when seen from the Manage Members screen:
This will prevent the member from logging in to the system.
Select the member you wish to delete from the Manage Members screen. When the member's profile opens, there will be a Deactivate Member option on the righthand navigation panel, as can be seen below:
After Deactivation of a Member
Once a member has been deactivated, the member will still appear in the Manage Member listing. However the member's email will be tagged as 'Non-Active', which will prevent the member from logging in.
In addition:
1) The member will no longer to receive notification emails from the system. For example if the member is still a member of a committee, the member will be marked as 'unverified' and hence not able to be sent emails via BoardCloud. Below is a view from the Committees page, showing the deactivated member is highlighted in red and is no longer active.
2) The member will not be able to login to the system.
Hard Delete
Once a member has been deactivated, the option highlighted below on the righthand navigation pane will appear instead of the previous 'Deactivate Member' option:
Technical Notes Relating to Deleted Members
Once a member has been deleted by following the steps explained above, the member is never actually removed from the system entirely.
A member's information is never completely deleted from BoardCloud, even though the member is invisible from the system's perspective. This for audit, governance and reporting requirements. For example, a deleted member may have attended any number of board meetings and as a result have various records attached to her user details, such as:
- attendance records
- votes
- tasks
- board pack annotations
- and more
If a user is permanently deleted from the system these kinds of records will be orphaned and the integrity of the data in the board portal will be compromised.
